Decked Out Holiday Market (November)
Our annual Decked Out Holiday Market is a special two-day, indoor event featuring fewer than 40 highly curated vendors.
Due to limited space, high demand, and the highly curated nature of the event, participation is by invitation only.
BOOTH + SETUP

We do our best to accommodate placement and setup requests, but with 100+ vendors at each market, we can’t guarantee every request.
If you have a placement preference, accessibility need, power requirement, neighboring vendor request, or anything else we should know about, please email our Market Director, Keirsten, at hello@pdxflea.com at least two weeks before the market whenever possible.
If you request an upgraded placement, such as a corner booth, we’ll do our best to accommodate it. Upgrades are limited and not guaranteed.
Half booths are not available during our regular season markets.

Booth sharing is permitted only with advance approval from Portland Flea and both vendors/products must be reviewed by our team.
Booth transfers are not permitted. If you’re unable to attend, your space cannot be sold, gifted, or transferred to another vendor.
We maintain an extensive waitlist and fill openings directly from that list. This also helps us keep booth assignments, vendor records + market-day operations running smoothly.
If something comes up, please reach out as soon as possible and we’ll take it from there!

Access to electricity is limited and is not readily available for outdoor booths at most markets.
For standard device charging — phones, tablets, card readers or small lights — please bring battery packs or portable charging solutions.
Indoor booths have access to electrical outlets for vendor use.
If you need power for equipment such as espresso machines, hot plates, refrigeration or other high-draw equipment, please let us know well in advance.

Before each market, you’ll receive the information you need for the day, including booth assignments, market maps + any special event-specific details.
Please make sure you’ve:
Paid your invoice
Reviewed your booth assignment + market map
Confirmed load-in details
Packed proper tent weights if outdoors
Reviewed any sponsor/coupon programs
Communicated any accessibility, power or special setup needs in advance
Sponsor + Coupon Programs
From time to time, Portland Flea partners with sponsors + community organizations on special market programs.
When a coupon or reimbursement program is active, we’ll send participating vendors specific instructions in advance.
For OnPoint Dollars, vendors should:
Accept each $10 coupon as $10 toward a purchase
Hold onto coupons received
After the market, email with your total quantity, Venmo handle + QR code
Portland Flea will reimburse you for the total value

Your booth is yours to make your own. Bring the racks, tables, displays, signage + merchandising materials you need to show off your work.
Please keep your setup contained within your assigned booth footprint and be mindful of neighboring vendors, shared walkways + emergency access.
Depending on your setup, we recommend bringing:
Tables, racks + displays
Signage + pricing
Tent + proper weights for outdoor booths
Payment system + backup battery
Lighting, if needed
Mirror or dressing-room setup, if applicable
Water, snacks + whatever you need to stay comfortable throughout the day
VENDOR TERMS

Vendor invoices must be paid within 24 hours of being sent.
Unpaid invoices automatically cancel after 24 hours. Your booth is not confirmed until payment has been received. -
All booth fees are non-refundable. If something comes up and you can no longer attend, please reach out to us as soon as possible so we can discuss your situation and manage the opening.
Booths may not be transferred to another vendor.

Portland Flea is a curated market, and acceptance is based on the work + product mix represented in your application.
Please sell only products or categories approved by our team. If your offering changes significantly or you’d like to introduce a new category, check in with us before market day.

By participating in Portland Flea, vendors agree to:
Stay within their assigned booth footprint
Remain set up through the full market
Follow load-in + load-out instructions
Follow venue + Portland Flea safety requirements
Treat fellow vendors, staff, partners + guests respectfully
Follow any licensing, permitting, health or fire requirements applicable to their business
Portland Flea may request removal of merchandise or displays that were not approved, create a safety issue, or are not consistent with the market.

Food + beverage vendors are required to obtain a Temporary Food Event License through Multnomah County.
Additional requirements may apply for fire safety, power, refrigeration, cooking equipment, wastewater, and venue regulations.
Please communicate all equipment and power needs during the application process.
MARKETING + COMMUNITY
We love when vendors help spread the word! Before each market, we’ll provide promotional materials you can use to let your community know where to find you.
Assets may include:
Market date, hours + location
Please tag Portland Flea (@portlandflea) in your posts + Stories so we can see what you’re sharing and reshare when possible.
Portland Flea regularly photographs and films market days for social media, website, press + promotional materials.
By participating, vendors should expect that their booth, products and/or team may appear in Portland Flea photography or video.
If you have something especially fun happening at your booth, tag us or let us know!

No. Booths cannot be sold, gifted or transferred. We fill openings directly from our waitlist.

Vendors should remain set up through the end of the market unless directed otherwise by Portland Flea staff.

Outdoor markets generally continue in normal weather conditions. Please come prepared for Portland weather.

Booth assignments + maps are sent 7-10 days prior to market day via Marketspread.

Please plan to operate using your own cellular service or hotspot unless otherwise communicated.
